How to Choose a Janitorial Supplies Supplier in the UAE (9 Questions)

Most cleaning and janitorial supply contracts are awarded on a price comparison across a sample basket of products. It is a fast method and a poor one, because the cost of a supplier relationship shows up almost entirely in the things the price list does not describe: whether the stock is actually available, how long delivery really takes, what happens when a machine breaks down, and who answers the phone when something goes wrong.

These nine questions surface those costs before you commit rather than six months into a contract.

Do you hold stock in the UAE, and how much?

The critical distinction is between a supplier who holds inventory locally and one who orders against your purchase order. The second model can quote sharper prices precisely because it carries no stock risk and that risk transfers to you in the form of lead times you cannot control.

Ask for specifics: warehouse locations, approximate holding, and which of your high-volume lines are held as standing stock rather than ordered in. Then ask what happens when a shipment is delayed at port.

What are your realistic delivery lead times, and where do you deliver?

Every supplier will say next-day. Ask instead for the lead time on a specific line, to a specific emirate, at a specific order value, and ask whether there is a minimum order threshold below which delivery is charged or delayed.

If you operate multiple sites across emirates, confirm that the quoted terms apply to all of them. Delivery that is reliable in Dubai and vague everywhere else is a problem waiting to appear on a multi-site contract.

Are you ISO 9001 certified, and do you hold UAE ICV certification?

ISO 9001:2015 indicates a documented quality management system which in practice means traceable processes for order handling, complaints and corrective action rather than a certificate on a wall.

UAE ICV certification matters for a different reason. If your organisation supplies government or semi-government entities, your own ICV score is influenced by where you spend, and certified supplier spend is treated more favourably in the calculation than uncertified spend. For recurring categories like cleaning consumables, that is a meaningful and entirely painless lever. Ask to see the certificate, and check that the legal entity on it matches the entity that will invoice you.

Do you service and repair the machines you sell?

This question separates suppliers faster than any other. A scrubber dryer or industrial vacuum is capital equipment with motors, pumps, batteries and wear parts. It will need attention.

Establish whether the supplier employs technicians in the UAE or subcontracts, which spare parts are held locally, what the response time is for a breakdown, and whether a loan machine is available during an extended repair. Can I get machines, chemicals and consumables on one account?

How stable is your pricing, and what are the contract terms?

An opening price means little without knowing how long it holds. Establish whether quoted rates are fixed for a defined period, how increases are notified and justified, whether volume tiers apply, and what the payment terms and credit arrangements are.

Be cautious about pricing that is sharply below the market on headline items. It is frequently recovered elsewhere through delivery charges, minimum order values, thinner product specifications or steep pricing on the consumables that lock in behind a discounted dispenser.

Who is my point of contact, and what is the escalation path?

Day-to-day, the relationship is only as good as the person handling it. Ask whether you get a named account contact or a general inbox, what the response time commitment is, who covers during leave, and how a complaint gets escalated if the first response does not resolve it.

Ask, too, whether operator training is available. Chemical dilution, machine operation and colour-coding discipline all degrade as staff turn over, and a supplier who supports refresher training protects the value of everything else you have bought.
